Effective date: the date shown at the top of this page.
This Policy explains how long ModernDaySamurai LLC keeps personal data in connection with
Cadensia Studio, and how we delete it. It supplements our
Privacy Policy and forms part of the processing terms in our
Data Processing Agreement.
1. Principles
We keep personal data only for as long as we need it for the purposes for which it
was collected, or as required by law. When data is no longer needed, or when you ask
us to erase it, we delete it or anonymise it. Some records are kept longer where the
law requires it (for example tax and financial records) or to establish, exercise or
defend legal claims.
2. Retention periods by category
| Category | Typical retention |
|---|---|
| Account and identity data | While your account is active, then deleted or anonymised on erasure |
| Uploaded source media and creative assets | While your account is active; unused temporary derivatives are cleared automatically |
| Generated output (videos, voiceovers, scripts) | While your account is active, unless you delete them sooner |
| Server-side visit records | Retained for a limited operational period for security and product analytics |
| Consent records | Up to 24 months from the date of consent |
| Support communications | While needed to resolve the request and for a short period afterwards |
| Billing and financial records | Up to 7 years, as required for tax and accounting |
| Sales/lead enquiries | While we evaluate and follow up, then deleted unless you ask to stay in touch |
| Security and audit logs | A limited period for security and abuse-prevention purposes |
Exact periods may vary with your plan, legal requirements and the nature of the data;
where a period is fixed by law it overrides the table above.
3. Automatic housekeeping
We run scheduled jobs that clear temporary files, remove stale media derivatives,
purge failed generation artefacts, and delete consent records once they pass the
retention window. Media storage is managed so that unused derivatives are evicted
rather than kept indefinitely, and we aggregate or delete operational records when
they are no longer needed.
4. Erasure and deletion requests
You can ask us to delete your account and personal data from your account's privacy
page or by emailing [email protected]. When we action an erasure request we:
- delete or anonymise your personal data (including identifying fields);
- delete the content associated with your account, including products, creative assets, generated output and connected-platform sessions; and
- keep only the records we must retain for legal, tax, security or dispute purposes, held under restricted access.
We may need to verify your identity before actioning a request, and we will confirm
when it is complete.
5. Backups
Data in backups is retained on a rolling schedule and is deleted or overwritten as
the backups age out. Backup data is restored only where necessary and is subject to
the same protections.
6. Changes
We may update this Policy; we will update the effective date above.
